1. Booking & payment

• Sessions must be booked in advance.
• Payment is due in full at the time of booking or before the start of the session unless agreed otherwise.
• Payments are non-refundable but may be transferred in line with the cancellation policy below.
• I reserve the right to amend fees with reasonable notice.

2. Student absences / cancellations

• Please provide at least 24 hours' notice to cancel or rearrange a session.
• Cancellations made with less than 24 hours' notice will be charged in full.
• No-shows will be charged in full.
• Where possible, I will do my best to offer an alternative time, subject to availability.
• Frequent cancellations may result in the release of your regular slot.

3. Tutor absences

• In the unlikely event that I need to cancel a session, I will provide as much notice as possible.
• I will always aim to rearrange the session at a mutually convenient time.
• If a suitable alternative cannot be found, no payment will be required for the missed session.

4. Lateness

• I understand that occasional lateness can happen.
• If a student is more than 10 minutes late, the session may still finish at the original time to respect my schedule.
• The full session fee remains payable.
• If I am late, I will extend the session to ensure you receive the full time booked.

5. Behaviour & expectations

• I aim to provide a calm, supportive and respectful learning environment.
• I expect students to be respectful, kind and engaged throughout sessions.
• Disruptive, aggressive or inappropriate behaviour will not be tolerated.
• I reserve the right to end a session early if behaviour is repeatedly unacceptable; the full session fee will still apply.
• The same behaviour policy applies consistently across all sessions.

6. Online session expectations

• Sessions take place via Zoom.
• Students should join on time, in a quiet, distraction-free space.
• A working device, camera and microphone are expected.
• Students should be prepared with required materials.
• Recording of sessions is not permitted without prior written consent.
• Technical issues do not cancel the session — please ensure a stable connection.

7. Changes to tutoring

• I reserve the right to make changes to session times, pricing or these Terms & Conditions with reasonable notice.
• Any changes will be communicated clearly.

8. General

These Terms & Conditions form a legally binding agreement between AP Tuition and the parent/guardian, governed by the laws of England and Wales. Any disputes will be resolved in good faith and, if necessary, escalated through the small claims court.

2. Safer practice

To help keep students safe I:

• Hold an Enhanced DBS certificate with Children's Barred List check
• Follow professional boundaries at all times
• Maintain appropriate communication with parents/carers
• Keep accurate records where necessary
• Complete safeguarding training and keep my knowledge up to date

3. Recognising concerns

I remain alert to signs that may indicate a child is at risk of:

• Abuse or neglect
• Emotional harm
• Physical or sexual abuse
• Online exploitation
• Domestic abuse
• Mental health concerns affecting safety

Any safeguarding concern will always be taken seriously.

4. Reporting concerns

If I believe a child may be at risk of harm, I will:

• Record my concerns accurately
• Speak with parents/carers where appropriate
• Contact Children's Social Care or the appropriate safeguarding authority if required
• Contact emergency services if a child is in immediate danger

The welfare of the child will always come first.

5. Online safety

For online tuition using Zoom:

• Sessions take place in a professional environment
• Students should work in a suitable shared space where possible
• Parents/carers should know when sessions are taking place
• Sessions may only be recorded with prior parental consent
• Any online safety concerns will be dealt with appropriately

Parents/carers are welcome to discuss any safeguarding arrangements before tuition begins.

6. Confidentiality

Safeguarding information is treated confidentially. However, if I believe a child may be at risk of harm, I may need to share information with the relevant safeguarding agencies or authorities, even without consent where legally required.

Parents and students can expect me to:

• Treat everyone with dignity and respect
• Promote a positive learning environment
• Encourage students to speak openly if something worries them
• Respond appropriately to safeguarding concerns
